Project Manager
Immediate part-time role available with flexibility for full-time.
If the TV characters your friends compare you to the most include Leslie Knope (Parks & Rec), Amy Santiago (Brooklyn 99) or Monica Geller (Friends) we are looking for you. Part-project manager, part communications connoisseur, we’re looking for a person who gets a thrill from seeing their inbox at zero, or “that new binder smell.” (Or…you know…helping an office full of creatives serve their valuable clients the way they deserve.) Whether that means keeping projects rolling, or helping the team publicly celebrate successes–you are the engine that keeps it all going.
We’re not just looking for a list of skills, though. We want someone with ideas who can tell us when there are better ways to do things. If you have a knack for finding cool new ways of doing business stuff based on emerging knowledge, technology, or skills? Let’s just say you’re definitely our kind of person.
Duties and Responsibilities include:
- Be our ClickUp expert
- Enter timelines into ClickUp
- Act as point of contact for all projects
- Compile all proposals
- Update IFC client portals
- Send weekly reports to clients who have active projects: what’s been done | what’s in a holding pattern and why | approaching deadlines | whether or not unmet deadlines will have an effect on the launch date of the project | if necessary–options for moving forward (Ex. Option A: Meet the deadline but charge for additional hours to meet that deadline. Option B: Meet the deadline but slightly reduce the project’s deliverables to make it easier to meet the launch date. Option C: Extend the deadline by X days and keep payment and deliverables same as initially proposed.)
- Make sure IFC & Client sign off on milestones so projects can move forward.
- Run one weekly team meeting–explain where we are in each project, what comes next, see if any new information is available
- Send all pre-proposal, proposal, and kickoff emails
- Modify all closeout packets per client
- Make sure deliverables make it to clients and client folders at conclusion of project
- Internally notify team members at open and close of projects to send gifts
- Pick up items for giveaways, projects, etc. (like from CopyWorks, for example)
- Follow up with client at 3 months
- Internally notify team to follow up with client at 6 months
- Manage timelines for internal projects as well
- Complete applications for things like awards
